We process your wages and salaries monthly and also handle notifications to social security and the tax office – you only need to report the changes.

In small businesses, payroll is rarely a dedicated position. It falls to the owner, gets handled in the office on the side, or lands with whoever is already collecting the timesheets. That's exactly where things get tight the moment someone falls ill, a temporary contract ends, or a health insurer changes a contribution rate.

We take this part off your plate each month. You report the changes to us, we clarify questions directly, and we attach the payroll to your ongoing bookkeeping – so the payroll accounts already match up once the annual financial statements are due.

Process

How a payroll month works

Every month follows the same fixed rhythm so that your employees are paid on time and contributions reach the health insurer and tax office by the deadline. The dates are based on when social security contributions are due – the third-to-last banking day of the current month.

You tell us what has changed compared to the previous month: hires and departures, hours worked by temporary staff, overtime, night, Sunday and holiday supplements, sick days, vacation, benefits in kind such as company cars or fuel vouchers. If nothing is reported, the previous month's payroll is carried forward.

What we need from you to get started

Transitioning from another firm or starting out as a young business usually takes two to three weeks. Most of the work involves setting up the personnel master data. We need the following documents from you for this.

For the business

  • Employer number from the Federal Employment Agency
  • Membership number of the relevant trade association including hazard classification
  • Tax number for the wage tax filing
  • Details on U1 and U2 levy obligations as well as the insolvency contribution levy
  • Applicable collective bargaining agreement or company rules on supplements
  • SEPA direct debit mandates for contribution payments to the health insurers

Per employee

  • Employment contract with working hours, pay and any fixed term
  • Tax identification number and date of birth for the ELStAM retrieval
  • Social security card and health insurer details
  • Bank details and address
  • Proof of children for the childcare supplement to long-term care insurance
  • For mini-jobs: declaration of other employment
  • For takeovers: the most recent statements and payroll accounts for the current year
