Starting a client relationship in four steps

Between the first call and the first bookkeeping we process, there are four manageable steps — typically just a few weeks, depending on the time of year.

  1. 1. Initial conversation

You describe your legal form, activity, and the scope of work you'd like to hand over. We'll tell you whether we're a good fit and outline the fee framework. By phone at +49 30 23125104 or in person at Georgstraße 22.

  2. 2. Engagement letter and power of attorney

You'll receive a written engagement agreement outlining the scope of services. Along with it, a power of attorney for the tax office, so that notices and inquiries are sent directly to us going forward.

  3. 3. Documents and access

We set up your document submission access and take over any existing bookkeeping data. If you're switching firms, we request the prior year's records from your previous firm — you don't need to do this yourself.

  4. 4. Ongoing support

Starting the agreed month, we take over financial bookkeeping, payroll, and filings on fixed schedules. Your contact person stays the same, and questions are resolved quickly by phone or email.

Submit your documents the way that suits your business

We work with digitally submitted documents just as well as the classic folder — what matters is that everything is complete and reaches us by the agreed date.

What we need from you each month

A small but complete set of documents is enough for ongoing bookkeeping. The earlier it reaches us, the smoother the month-end close and the more reliable the VAT advance return.

  • Outgoing and incoming invoices for the month
  • Bank statements for all business accounts
  • Cash book or cash report, if cash transactions occur
  • Receipts for entertainment, travel, and business trips
  • Personnel changes for payroll accounting

Costs

What makes up the fee

Tax advisory fees are not set freely but follow the Tax Advisor Fee Regulation (StBVV). We explain openly which factors determine the amount, so you can estimate your costs in advance.

Value-based fee by subject matter value

We bill most services based on what's known as the subject matter value: a reference figure reflecting the economic significance of the work. For bookkeeping, this is annual revenue; for annual financial statements, the sum of the balance sheet total and operating performance; for income tax returns, the sum of your income. Within the statutory framework, we set the rate based on scope and complexity. A cleanly pre-coded set of documents falls at the lower end, while a business with multiple locations and international dealings falls higher.

Time-based fee and flat rate

Where the regulation doesn't specify a value — for example, in tax audits, appeals, or business consulting — we bill by time, in increments of half an hour. For recurring work such as bookkeeping and payroll, we can arrange a written flat-rate agreement with a consistent monthly amount, if desired. This makes it easier to plan your cash flow. The agreement specifies the scope of services, the amount, and the notice period, and is reviewed annually.

  • Submit documents digitally and sorted by month, rather than as a loose annual pile
  • Keep business and private payments in separate accounts
  • Maintain the cash book continuously, rather than reconstructing it retroactively
  • Label entertainment and travel expense receipts with the occasion and participants right away
  • Answer our bookkeeping team's questions within the current period
The five points above noticeably reduce processing effort and directly affect the fee rate. During the initial consultation, we'll give you a written estimate of expected annual costs based on your figures.
