There's a fixed list for every service: what's needed to start the engagement, what's required monthly for bookkeeping, and what the annual financial statements call for. You'll see in advance what to put together.
Checklists
A Separate List for Every Occasion
We only request what's actually needed for the respective service — and tell you upfront how often documents should reach us.

Engagement start
A one-off step at the beginning: we set up your engagement, register you with the tax office and create your master data.

Financial accounting
Recurring monthly: outgoing and incoming invoices, bank statements and till receipts for the past month.

Payroll accounting
Employee master data on joining, then only changes: absences, allowances, starters and leavers.

Annual financial statements
Once a year: inventory lists, open items, loan and leasing documents as of the balance sheet date.

Tax returns
Everything beyond the business that counts for tax purposes: certificates, insurance, investment income, children and provisions.

Permanent documents
Contracts, registrations and bank details stay on file with us and are only updated when something changes.
Engagement Start
Six Documents, Then We Can Get Started
At the first appointment, we set up your engagement. Once these documents are available, the power of attorney and registration with the tax office are on their way the same day.
Bring to the First Appointment
- ID card or passport of the person authorized to represent the business
- Business registration, commercial register extract, or professional license
- Tax number and tax identification number
- Latest tax assessment and the most recent annual financial statements
- Previous tax advisor and status of the handover
- Business bank account details, including credit cards and payment service providers
On Permanent File With Us
- Articles of association or bylaws including any amendments
- Rental, lease, and leasing agreements for business premises and vehicles
- Loan agreements with banks' repayment schedules
- Business insurance policies, such as liability and contents insurance
- Fixed asset register with acquisition receipts
- Extended filing deadline permit and powers of attorney granted
Ongoing Bookkeeping
What Comes to Us Month After Month
Most of the work is recurring. Anyone who submits a complete set of receipts for the month by the fifth business day gets a timely advance VAT return.
Financial Accounting
- Outgoing invoices for the month, numbered consecutively
- Incoming invoices and receipts, including small amounts
- Bank statements for all business accounts, numbered without gaps
- Cash book or cash report with daily closing balances
- Statements from payment service providers and card terminals
- Entertainment receipts with occasion and attendees noted
- Mileage log or odometer reading at month-end
Payroll Accounting
- Employment contract and personnel questionnaire for new employees
- Tax identification number and social security card
- Health insurance membership certificate
- Sick notes, vacation, and other absences
- Overtime, allowances, bonuses, and benefits in kind
- Terminations, mutual agreements, and parental leave notifications
- Changes to working hours or compensation
Submitting Documents Digitally
Financial Statements and Tax Returns
Once a Year, Things Get More Extensive
At the turn of the year, inventories, balances, and private records are added. We'll send you the appropriate list as soon as the accounting year has been closed.
Annual Financial Statement
- Inventory list as of Dec. 31 with quantities and valuation
- Outstanding receivables and liabilities as of the reporting date
- Bank confirmations and balance statements for all accounts
- Loan overviews with interest and repayment portions
- Purchase and disposal documents for fixed assets
- Cash balance at year-end
- Contracts newly concluded or terminated during the year
Tax Returns
- Wage tax statements and notices on wage replacement benefits
- Annual tax certificates from banks regarding capital income
- Contribution statements for health, pension, and provident insurance
- Donation receipts and membership fees
- Invoices for tradesperson services and household-related services
- Records relating to children, childcare costs, and education
- Documents relating to rented properties, including utility statements
The Journey of Your Documents
From Handover to Return
Every delivery follows the same path with us. This way, you know when a query will come and when your folders will be back with you.

1. Receipt and Review
Whether uploaded or delivered as folders at Georgstraße 22 — we log the receipt and check whether the period is fully covered.

2. Follow-up Requests
If something is missing, you'll receive a consolidated list by email instead of multiple individual calls. You only need to provide the items listed.

3. Posting
Receipts are coded and posted. Questions about individual transactions are clarified together in context, not receipt by receipt.

4. Reporting
You receive the preliminary return as well as the business analysis for the period — available digitally in the portal.

5. Return and Archiving
Paper documents are returned to you once completed; digital receipts remain accessible to you in the portal.
